How does the frag swap work?

We have a few members who will be here the weekend of the frag swap and have a fair number of acro/candy cane frags that we'd love to trade for some lps or other stuff. How does the frag swap work? Do we need to sign up that we're going? What is the best way to transport and display corals since we're gonna be coming from Miami.
