There are a few items that need to be bought for the swap so we need to vote on them as well. I think we probably need our WTMRAC bank account balance so all will feel ok with the items needed. And since we are renewing positions maybe we should also vote on how often a finanical statement and bank statement should be presented to the club. I think that will help keep everything in check and balanced.
I wonder if we can also get how much we took in the last swap as well as how much the swap cost us.

OK, let's not have lots of people saying I vote for this and I vote for that until we get things formalized a bit more. That includes an official list of candidates for various positions. Right now it looks like we're still receiving nominations at this point. So please Mr. President, set some guidelines (e.g. set a deadline for all nominations). Please include the RC user name as well as the actual name of the person so there's no confusion. Lastly, I would suggest that the voting take place at the next meeting or at least be done by PM.
 
As the election thread said, we are taking nominations in that thread for the officer positions. The actual vote will be at the May meeting. I will close the nominations in plenty of time for everyone to back out of their nominations. Including the RC username is a good idea.
 
I guess I could have been a little more clear by saying, and when we vote at the May meeting we also need to consider a few things that are needed for the swap.
 
I've reported on the last frag swap several times so I thought that was set. It was break even --- a perfect money in = money out within less than a dollar.

The bank balance is not so simple because we're finalizing and settling out the St. Jude contract. We're donating back to St. Jude what has not been spent on the tanks and we have to break out all expenditures between what is St. Jude and what is club related. Once that's settled, it will be simple to say what we have and what we can spend. There are some proposals to be presented at the next meeting that hopefully will close all that out completely and make things easier going forward.

Once it is only club money in the account, there is no reason that we shouldn't have a financial reporting at each meeting. The other thing to remember is that we're at the end of this fiscal year and most of the memberships are up for renewal. September (the frag swap) is a time that there should be plenty of funds available, but if the frag swap does less than break even it will impact the giveaways at the Christmas meeting. It all evens out. We're a non-profit club and not trying to accumulate $.

I apologize if anyone feels that they've not gotten the financial information they feel they should have. I only got full access to the bank account a few months ago so it was hard to function as treasurer for most of the year I have in that role.

Whoever is in this position, it's important to remember that the Treasurer should just keep track of the money and write checks, not say okay or not for what money is spent. The CLUB needs to approve every expense. We should probably set up some policies as to what the club feels that just officers can approve to keep bills paid and what expenses should be voted on at meetings.

Thanks for ALL you do for the swap, Malissa! We couldn't do it without you. Please bring what you want to spend at the next meeting and I'll bring full financial reports and we can figure out what we have to work with.

Things are pretty well organized now so it would be easy for whomever wants to take over the Treasurer job to take it from here. All of the membership is on a software program so it would be easy to manage for someone who has more time than I have to work with it. I'll certainly help transition anyone who is willing to take it on.

Any Treasurer volunteers???? Please?????

I remember that the frag swap was break even but I could not remember how much everything cost and I do not have any notes on fees and how much we took in.
I was trying to stay within the same budget as last year hoping that because we do not have to pay for the building, or insurance we could get a few thing ( not very expensive) that would promote the swap. And take in some money that the club could use for Christmas or what ever else the club voted on.

As far as the financial reporting I just wanted each treasure to protect them selves especially as new coming in and old Going out. I know you are very trust worthy and I am sure all are in the club just did not want anybody to get in an uncomfortable situation.

You did a great job also getting membership fees at the last swap are you up for that again?
