Club Duties

There has been a lot of drama going on lately about the interest and participation in the club. Everyone seems to have their own opinion. Im not sure where the bylaws are posted.

With that said. What are the duties officers should carry on while in "office"?

For example, what are the president's duties as president? What about treasurer? Vice president? Etc

I think an explanation of each position would be extremely helpful to everyone since that way we know who's in charge of what.

I can answer that easily, it has been made very clear that there are no duties as far as participation.

and the president or anyone else with a position has no responsibility to lead by example or anything else.

And again i have said it many times, i disagree with this but its not personal, just want to see the club do well as we all would. Im just a very blunt person, and will call it as i see it. Any position should require some weight, but also i do not blame anyone in particular because like anything it should be a group effort. I also understand how difficult running something like this is and even harder to get a group of people to do things at times. This being said after a while its just a pain to get motivated. I enjoy this club and also this forum, i dont know about you but friends of mine dont really care or understand the hobby its nice to have people to talk to and share this awesome hobby.

My club duty is to supply everyone's fix! :) I also try to answer questions from time to time. I need a better camera to show what i am really up too! :)

vote pedro for president so he can fix everything. vote for hope and change! hell pedro i will give you the vice president chair so that you can deligate to everyone else how things should be done.
the hostility towards the officers for not posting more than regular members is a joke. why should we have to continuosly spur people on. we have lives just like everyone else. just like everyone else our interest in other things come and go. the forum was dead for awhile, is that our fault? maybe we should elect pedro as the recruitment chair so he can go out and solicit new threads and new members.

pedro i am glad you call it like you see it, i am going to call it like i see it. you're an annoying ***** that likes to stir the pot for no other goal than to get the masses stirred up.

so untill you are ready to take a leadership role in this organization, i suggest you leave it to the people who are. we are having a meeting at my house march 31st. i will gladly nominate you for any position you are ready to handle.

I didn't mean for this thread stir up any issues. My question was for informational purposes. I honestly have no idea what roles each officer plays. For example, the president. Does he/she take care of scheduling meetings or does the Secretary do that? Does the treasurer only talk money or what? .... Etc ... Etc I was just curious as to how the club is supposed to run.

This thread wasn't meant to call anyone out or to point fingers about anything.

Personally I think a basic description of each position would make a good sticky up top.

wow, i think you need to re read my words there justin, and think it over again. Now that you have resorted to name calling. Grow up and have a conversation like an adult please.

And fine i vote for me then, i would have liked to do this cordially and in a real manner. But so be it.

I would like to formally put my name in for President of this here club. And i promise to be active, not call people names, and listen to the members when they bring up issues associated with STARS and its members.

So I had to post this not to make fun of anyone.
I'll even throw my name in there for at least VP...

Why do we have a treasurer? We dont pay dues or have any monies for this club that I know of...please correct me of I am wrong on that.

The position that I see that is in need is a Secretary, to take minutes. This person will then will post all that attended the meeting along with topics online for everyone to view.

Pedro, please dont think I am making fun of you with the pic i just posted...I thought I throw in a little humor.

Here is what I found...NOT on this site just on another...for positions of office...I believe these statements to be true and the backbone of any Org/club....be mindful as some terminology may change due to our situation/club....other positions to follow.

****president*****
The president of your club has two responsibilities which place this officer in somewhat of a paradoxical situation. First, if a club is to be successful, the president must divide the responsibility of club leadership among fellow officers and club members. The use of delegated power is the only way to cope with large amounts of work in an efficient manner. Secondly, the president must accept ultimate responsibility for club structure. In short, the buck stops here. So at the same time the president divides the control of the club, responsibility must also be taken for the entire club operation. Anyone who seeks the presidency should be mindful of this paradox along with several other considerations. The president must understand that to be a leader means to work with people, not to be independent of them. Cooperation, understanding and hard work are necessary to hold a group of young people together. The president must be aware of the foundations of Civitan. Being a Civitan means operating upon responsible citizenship premises; Civitans help others. No matter how square this may seem, these premises are the rules of the game, and if you are going to play the game, you must understand and abide by them. In addition, the president must set certain goals for the club and keep those goals in mind as the club progresses through the year

***Objective***

1. Lead his or her club to achieve its goals for the year
2. Preside effectively at club and board meetings.
3. Organize and direct the work for the club's board of
directors and committees.
4. Represent the club the community.
5. Communicate club, goals and programs to the club members.
6. Resolve conflicts within the club.
7. Represent the club at events and meetings

**General Duties**

1. Develop all meeting agendas. Each should be reviewed
with the advisor well before the meeting.
2. Serve as an ex officio member of all committees.
3. Lead the club in all local, district projects.
4. Attend all meetings and/or conventions.
5. Maintain communications with all levels of Junior Civitan, from your own members to the district officers
6. Maintain communication with the sponsoring club
7. Maintain a strong membership level.
8. Maintain a sound financial basis.
9. Represent the club in all community and organizational functions.
10. Make announcements of all projects and events

just callin it as i see it pedro. I will vote for pedro for president.

the club does have a little money from the raffle of the tank. i think it is $74 and is in Steffans possession.

the bylaws are posted on the STARS website. that give plenty of detail on the officers duties.

****vice president****

The office of vice president is a highly flexible position which can be extremely valuable or practically worthless. The vice president and president must work together to insure the value of the office. There are several guidelines
which can aid in this task.

1. The vice president must be as knowledgeable about all club activities as the president. This means both the administration of the club and the club programs. This allows the vice president to step into the office when the president is absent or unable to serve.

2. Specific duties must be assigned to the vice president immediately, i.e., chair of the Program Committee. Such duties may automatically be assigned to the vice president through club bylaws.

3. The vice president must work closely with the president in defining and executing the goals of the club.

4. The vice president can serve in a variety of positions; project chair, representative to inter-club councils, or committee chair. Above all, remember that if the vice president is to be of value, he or she must be willing to take on any responsibility.

****secretary****

The secretary's position is one of the most important in the functions of the club. As secretary, you are expected to devote sufficient time, each week, to the various details of your office. Your work is doubly important since you are a main contact with the club.
One of the first requirements necessary is being thoroughly familiar with the duties of your position and what is expected of you. You must be organized! It is suggested that
you keep a three-ring binder, separated by tabs for the different reports and information you are required to maintain. You will find that, in a great majority of cases, when information is desired by officers, committee or club members, the question will be directed to you as secretary. The secretary should have knowledge of the functions
and the purpose of Junior Civitan on the district and the international level so that you will be able to assist the president or any other member of the club when a question arises. The secretary should also be familiar with the rules and regulations as stated in the constitution and bylaws to quickly locate a needed piece of material.

***Objective***

1. Maintain all club records.
2. Record and keep minutes of all club and board meetings and provide copies to the board of directors.
3. Handle all club correspondence.
4. Maintain all membership records.
5. Record member attendance records.
6. Prepare addition and change of address information.
7. Order all supplies and literature.
8. Serve as an active member of the board of directors.
9. Send thank you note

**general duties**

1. Ensure all aspects of the club meetings are in order.

2. Record minutes of all board meetings and club business meetings. These records should include members present, guests present, presiding officer, speaker and subject, highlights of address for newsletter (this should be provided to the public relations coordinator), and any business conducted.

3. Keep attendance records.

okay so the bylaws are not on the website. i will find them so lorenzo can stop working so hard finding info we already hashed out! although those do look familiar im sure ours is close to that

LOL, well ill try and find a vote for pedro shirt. And sweet i already got the current vice presidents vote, even though im an annoying *****. So if i can get his vote its a huge endorsement !!! nice.

Lsaucedo a little humor is always welcome, and i dont get butt hurt easily so no worries. That vote for pedro stuff has followed me around for some time now. haha

If you have hung out with me for a bit then you know me a bit better than just reading and taking into your own context these words/text type responses on here.

oh and i am a bit disappointed by a vice president of a club calling a member(um me) a name on the forums, you dont have to agree with what im saying or doing but this isnt high school. or at least dont do it on here. I dont want members to get turned off of going to the meeting because of things like that. Doesnt help a club that needs help already.

VOTE FOR PEDRO!! I think this club is in need of some change. We have not been active from what I have seen recently; since I have been here I have gone to several meeting and I still do not know who the officers are. There is a huge interest here in El Paso in the hobby but no one knows about the club. Since I have been selling my corals on craigslist I have met dozens of people that would love to be a part of a club like this but they didn't even know it exists. I think Pedro has been the most active in trying to turn this club around and if given the opportunity I think he would do great things.

I'm not here to bash anyone as I am not in position to do so as a newer member..however, as a newer member you tend to see things that are missing maybe things that have been pointed out in the past and was put on the back burner or just forgotten....I was just pointing out something I found online that would suite our needs.
Everyone talks bylaws this and bylaws that however, no written laws anywhere are not laws at all. All bylaws should be readily available to anyone at anytime. As you stated they are not on the website....which I believe so wrong. 1st thing in any club/forum is rules and bylaws which I have always seen are pin ups on most sites. This allows any new members like myself to know the rules of any site.

This is just my point of view a newer member. little things like this should be addressed thus not allowing big blow ups as we are having here.

Well thank you guys so much for you vote and confidence, i appreciate it more than you know. Also do we need people to show up to the next meeting to do this or count the votes then depending on the turnout ? or if the turnout doesnt look to be all that great do we try and move it to EP ???
