Elections at May 19th meeting

I belive Carole announced a few weeks ago she would be running for president. Anyone else plan to run for a position?

Seems a little odd to not discuss any of this ahead of time doesn't it?

What do you mean? We still have 6 days until we are supposed to cast a vote. Isn't that enough time to form an informed opinion?

I think whoever is in a position of leadership next time should work at the planning aspect of the club as it seems that things are not discussed until it is very late in the game.
Even if the same people are doing the same jobs next time it would be great if there was a thread about current and upcoming events, maybe even voting on what the members would prefer. It would be nice to have some amount input. Things don't have to be a total democracy but I think it would feel more like "our" club if we had more of the decision-making capabilities outside of just electing the board members.

It would also be really nice if we could have a monthly informal meeting maybe halfway through the month to have time to just talk and get to know each other without being rude to a speaker or the raffle people. We could have it at a local restaurant or even if we have people volunteer their homes to host a meeting we could BYOB or something.

Kevin and I have talked about a 2nd monthly informal meeting a few times. Seems most of us are informal type people :)

I like how CORA seems to have more of a come hang out atmosphere at some of the meetings they hold. I do like our normal meeting schedule don't get me wrong. Might be able to get some other locals to attend that cant to the normal fri eve meetings if it were held on a different day.

I'd be one. Early in the week would be very good. I work Thursday, Friday and Saturday nights... but I would love to attend the meetings. Any other day would work great for me.

Not odd at all since I have only had 2 people step forward and commit to running for any position Mike Canterbury for Membership Chairperson and Paul Cimino for Webmaster. Several people have speculated or considered running for a position but have not told me "I am running for this or that office please put my name on the ballot". Since members feel they need more of a voice our program this month will be an open dicussion of the the state of the club and our future direction. i hope everyone comes ready to participate in the dicussion.

Informal meetings might be a great idea for the summer months of July and August and even June. They could rotate around the area and whoever wanted to show up could do just that.
 
Open discussion sounds great! Anybody feel like putting down some "talking points" ?

Here are the subjects that I feel would be good to address:

1) Secondary (informal) meetings that have no real bearing on the club other than to have fun and "get to know others". Not dealing with anything that would affect the usual running of the club. Just a get together.

2) Having a thread started that deals with the upcoming meeting and its topic/speaker so we can pose questions, or discuss the pending events.

3) Trying to plan out our topic/speakers in advance. (such as PMASI has the year planned out very early)

4) Coral of the month. This could be something that is done between a few members if it is thought to be too much for the club to handle. I thought it was an awesome idea to go in on a large, expensive colony and frag it for each person interested in taking some home. We could gather a nice collection of frags for ourselves for relatively little money if we had 10 guys go in on a $150 colony.

5) The Christmas party seemed to be a great event with everyone's families showing up. We could plan a club get together that is during the day and all family members are invited. Something like a picnic, a day at a Cleveland attraction like the Rock hall, Metroparks or even a day at Cedar Point or Geauga Lake.

6) Tank tours... There were some people who were willing to open their homes to others for a tour of their tanks and equipment during the winter. After talking with some of them, it seems that there was much confusion and not much organization in the days leading up to the tours. One member told me that they were not even sure until hours before the scheduled tour if there were people even coming to their house. I think it would be great to have a sign up sheet for people willing to host a viewing and maybe do one per month.

7) 12 scheduled monthly meetings per year. I am not sure why there are a couple months that have no meeting during the summer months. I assume it is due to the fact that people have busy lives and take family vacations during the summer break. I am pretty sure that we have enough members at this point that would like to have a meeting every month and would show up for it. Even if there is a scheduling conflict with some of the board members I think there are people who can pick up the slack and help things run smoothly.

These are just a few of the thoughts that come to mind when I think of the direction I would like to see the club headed. If my thoughts are not in line with what others feel then please let us all know how you feel. Maybe there are ideas that I would like better than the ones I mentioned so far and I just haven't heard them yet.

I have met some great people through the club and would like to have more interaction amongst them.

I guess that is more than my 2 cents this time. :)

After searching I see Carole never said she was definatley running for the position. I'm sorry Carole if I put you on the spot here.

Yes that's exactly what that means. Like I said people have speculated that they may run for this or that position but untill they say Put me on the ballot for this or that position it is still speculation. That's why I have been repeatidly asking that anyone wishing to run for a board position let myself, the Vice President, or any board member know so that we can get their name on the ballot.

Sorry everyone, but after much soul-searching I have decided not to run for office next year. I just don't have the time to take on more work, and actually need a break after the last 2 years as secretary.

(Sorry Chuck, don't be mad at me :( )

One suggestion I have is to list the available positions, what the responsibilities are for that position, and who is currently running for them.
 
From the C-SEA constitution and bylaws:

President:
a) Act as the Chief Executive officer of C-SEA and provide leadership and supervision
b) Seek to ensure that the other officers and Board carry out their duties, but, this does not imply that the president must assume the duties of any officers who are derelitct in their duties.
c) Chair all board meetings and membership meetings, and serve as ex-officio member of all C-SEA committees.
d) Act as an official representative and spokesperson for C-SEA
e) Call special meetings of the board

Vice President:
a) Assist the president in carrying out all of his duties.
b) Act for the president, in the president's absence or at the request of the president.
c) Serve as nominating committee chairperson accepting nominations for Board of Directors positions from the membership.

Treasurer:
a) Keep a complete and accurate record of the financial transactions of C-SEA and make these available to the board at all reasonable times.
b) Prepare a triennual financial statement for the general membership.
c) Ensure the safekeeping of C-SEA's financial assets.
d) Attend to correspondence relating to C-SEA's finances including payment of bills and annual IRS filings.
e) Maintain two current board members signatures on the bank's file for proper access. The signatures will consist of the treasurer's name and one other designated by the board.

Program Director:
a) Develop and recomend to the Board ideas for C-SEA membership meetings.
b) Develop contacts in the marine aquarium hobby, and hence develop a list of potential speakers for events.
c) Make arrangements for the smooth running of C-SEA meetings and programs including reserving monthly meeting place, booking and accomodations for guest speaker.

Membership Director:
a) Maintain a current and complete record of all members, and make it available to the board at all reasonable times.
b) Collect membership fees and provide them to the treasurer, with a reconciliation of fees collected and the membership list.
c) Promote membership in C-SEA.

Raffle Chairperson:
a) Conduct raffles at regular C-SEA meetings.
b) Ensure that the raffles run smoothly and that adequate raffle tickets are available.
c) Hold all raffle prizes safely.
d) Reconcile monies received for the raffle with another board member and turn it over to the treasurer.

Newsletter Editor:
a) Be responsible for regular publication of the C-SEA newsletter.
b) Edit the newsletter, using judgement as to the suitability of submitted articles.
c) Be responsible for all equipment and supplies associated with the publication of the newsletter.

Secretary:
a) Compose and send letters of solicitation to potential donors of products for various C-SEA fund raising raffles.
b) Record and track donations received.
c) Compose and send letters of thanks to donors.
d) Establish and maintain mailing lists of LFS's and national manufacturers.
e) Be responsible for taking and distributing minutes of all meetings.

Web Master:
a) Be responsible for the regular maintenance of C-SEA website.
b) Edit the website using judgment as to the suitability of submitted material.
c) Be responsible for promoting C-SEA over the internet.
d) Assure that the web master plus one other person designated by the board have access and password to C-SEA's website.
