Regional Club Frag Swap: Planning

Either day works for me! Yes knowing I'm going to have a 3+ hour round trip, I'll be happy to support a feed & frag venue.

I've only received two paid lunches so far, though. A far cry from the 50 minimum. If we're not close to that by next Thursday (28th), I'll most likely have to cancel:(

sounds interesting but i have a few questions....other than purchasing lunches to attend swap, does one have to bring frags or can you simply purchase frags? if purchase is allowed is it typically cash only? does one have to be a member of mars?...i am a reef central member. please let me know. thanks.
 
With this being a non sponsered event I think it would be difficult to take many people that come without frags to put into the swap. When the swaps are sponsered, typically the club that is putting on the event will go out and purchase corals and frag them up to account for those not bringing frags, and charge those not bringing frags some extra cash to pay for them. I seriously doubt that Karl or anyone else wants to pony up the money to do something like that without knowing if they will get their money back, and if they did they would have to deal with people afterward accusing them of tring to make money on it. Which is why I like how Karl set this up. The only money to be made is by the cattering company...which in turn gets the room for the event.
 
I just thought that I should add that I haven't been any part of the group or person (Karl) who has been planning this. So, don't take my thoughts as factual. They may have already addressed this and I haven't heard their plan yet...

This will be my first frag swap, so I am not sure how it works. will there be an out line of the event before the day of?

UPDATE:

This is just to answer some of the questions from either PMs or in the club forums.

In cases where members wished to participate but did not have frags to include in the swap, the sponsoring club would then charge a fee. This being a non-sponsored event, the ‘buy in’ would be inappropriate.

From past experience, I know most prefer that participants should contribute frags, but I realize there instances where you’re not able to, because of a tank crash, for example. Perhaps, if we could get more opinions on this, it would help me decide. We could either require the contribution of frags, or maybe have a ‘prepaid buy in’ that would allow me to put together some raffle prizes.

There were some inquiries about swap rules or outline. I don’t really want to delve too much into that yet until we determine whether or not this swap will take place. As of this evening, I’ve only received 4 paid lunches, which is far short of the 50 minimum we need. Again, the restaurant has given me until this Thursday (Sept. 28th) to submit the deposit for the banquet hall. If we’re not close to the minimum by Thursday, I’ll need to cancel or postpone the swap and send refunds to everyone that did pay.

The planning committee has been me, myself, and I (fortunately, I get along great with myself). If we do get to the point where we know this is going to happen, I’ll reach out to those that have expressed interest in helping me out (which I greatly appreciate).

This is ‘our’ swap. I want this to be a wonderful experience for the grizzled, battle-scared swapper and the new, never knew what hit ‘em newbie. Keep the ideas and suggestions coming.

I am so cool with the concept of bring 6 and expect to take home 5. I am just using thoes numbers an an example and do not have a set number in my mind. This way if there are people who do not have frags to swap they can still get in on the action. The extra cash could go back to the local clubs once all the incidental expenses are covered.

Karl, I paypal'd money for 2 meals.

I have a suggestion about the buy-in monies. If there is a buy-in and surplus money, how about we as a group donate it to a local charity that feeds families on Thanksgiving or buys gifts for kids on Christmas?

The charity idea would be great. Especially, with the holidays coming around.

As for an update, right now, we're at 14% of goal for paid lunches.

Do you think it's possible the price of lunch is turning everyone away? Is it possible to find a cheaper place? How about the RoundTables room, the one we use for our meetings?

I think that room might be fine for swap for current members only, and everyone can either eat in that room or filter out in the main room. As for time, I think if we do the swap during their off-peak hours, there might be more space for us and they would probably appreciate the extra business during slow hours.

I think this is a major factor personally.13 bucks is a nominal fee Im sure most of us will agree, but definately adds up if you dont want to go alone. Almost 30 bucks is a lil steep to go with my girlfriend to swap some frags. Kind of takes away from the spirit of it IMO. A few of us would've been content with a park, and did even notice a few people offer there own house for the event. Hard to beat free. Especially if the idea is to give more than recieve but again is a little pricey for me to to pay 26 something just to give a few frags to some peeps, ya know?

Participation would most likely be what we regularly see with our MARS club frag swaps and with WMC. The majority are mostly out of towners, with a small percentage being from the Sacramento area.

It would be a lot cheaper to do it at a park or at Round Table, but only locals would be interested in something that small, if at all. This would only make sense for a small group, like what we would normally see at a MARS meeting. With a smaller space or limit of tables, it would be more appropriate for a swap with MARS members only, which could easily be held during a meeting.

There was very little interest in the small frag swap that Edwin tried to put together not too long ago. After this fell through, it was apparent that we would need to open it up to all the neighboring clubs from Chico to the South Bay, who would really drive this thing.
 
What's the capacity of the Round Table room?

I think it might be large enough to accomodate us and others from out of town.
