16th Annual All Ohio Frag Swap - April 4th from 12-4pm

A lot of this has been duplicated in other threads. To follow is a summary.

It's almost that time of year again! The 16th All-Ohio Frag Swap is just around the corner. This year's event will be held on Saturday, April 4 from 12-4pm and is shaping up to be the best ever. This year's event will be held at a new beautiful venue that will provide more room and better parking. Food and beverages will also be available.

General admission will be $5 per person. Children 12 and under are admitted free and private parties who would like to sell items will be able to buy a space for $5.

The space for vendors will be a standard 8ft table for $50 but anyone requiring more space can purchase a second (or more) additional table for just $25. Doors will open at 10am for vendor setup. Tables can be purchased on the day of the event and will be available on a first come, first serve basis. However, if you are interested in pre-registering for a table, we now accept Paypal. Please PM me and I will forward the appropriate information.

*In the past, there have been problems trying to supply unlimited electricity to every table. Therefore, this year we are asking vendors to limit lighting to T5, LED or PC fixtures and refrain from using Metal Halides. We apologize for any inconvenience as we want to help everyone have a great experience and avoid overloading circuits and possibly resetting breakers all day.

As you know, we are accepting donations for the Frag Swap raffle. Once we have a listing of raffle items, we will post. Any donations will count toward a 2009 sponsorship and will be announced at the Frag Swap.

For those of you that are new to the hobby, the Frag Swap is an excellent opportunity to pick up nice corals and hardgoods from fellow hobbyists.

Fragswapper.com provides a great venue to pre-arrange buys and trades.
 
I had an idea for the swap and didn't get a chance to voice it at the meeting. As two people were too busy talking about everything else while they were standing in the front :). Just kidding. I had a lot of trouble finding people whom I had pre-arrangements with on fragswapper at the swap. I am sure there are others out there that have the exact same problems that I did. I eventually found everyone, but think that there has to be an easier way to do this.

Here is my idea. Say there are going to be 5 rows of tables at the swap. 1 row would be reserve for the Vendors. The other 4 rows would be available for sellers. The 4 rows would be divided into alphabetical letters, row 1 A-E, 2 F-I, etc. If there are more names in the first row move the E to the second row. That way people would know what rows to set up their stations in. That way when I and others go to search for someone with a certain screen name, I would know which row to look for them in.

2nd idea is you have a posterboard or something large on each end of the rows. And whomever setup their station at that certain row, could put their names on the posterboard. So I wouldn't need to go up and down each row looking for someone with a name tag on their shirt. Could just look on the posterboard.

This is just an idea, feel free to work on it or shoot it down. I just think it would make everything at the swap so much better, than to frantically go up and down each row looking for someone.
 
I do tend to yap too much.

We had discussed this previously and were planning to do something along the lines of your second idea. At the door we will issue name tags and have chart available for you to sign up your location.

With have tried similar measures in the past and even with that, things have gotten hectic so I strongly recommend if you have trades arranged, you may want to exchange cell phone numbers as well beforehand.

Nothing is written in stone so keep the ideas coming. If there is a better way, I am all for it.
 
That is a really good idea. We should definitely do that this time around. The more organized we are, the smoother it will all go. I also had a difficult time finding some people last time. Would be a great help to have a quick way of finding them.
 
OK... I am finally satisfied with this version. I have made too many versions of this and need to just let it ride the way it is :)

A few have expressed interest but we haven't started an official list yet.

One coming from Indiana already though. We will post when people confirm.

So for the hobbiest it will cost us $10($5 admission + $5 for a space) if we want to sell frags? The size of the space is ?

there is no need for hobbiest to register , we just pay the admission and the new 5 dollar table fee. and just show up at noon. Frag swapper will be up to post corals for sale a month before the swap

Hi Dave, with the increase in the cost of everything we were trying to keep the cost of admission from going up and we thought it would be a good idea to just charge about half of one very cheap frag to those that will be selling frags. There will be fragswapper deals that are made without a table and it nobody will be kicking people out if they open a cooler to make a trade without paying to sell but it makes several things possible and easier to achieve.

We are hoping that as you come in we will collect the $5 to get in. Then there will be a question. "Would you like a space for selling frags today?"
If you say yes we will have you fill out a simple card that says your name and screen name. Then place that card into the space on the board that will show the location of your table space. It will be a directory for those trying to complete deals.
If you say, "No thanks!" you can just move on to your day of buying, trading and fun.

The $5 table space will be the normal half-table that we usually had and the money will go toward the purchase of raffle items (hard to get freebies anymore), door prizes (something new and potentially fun/exciting) as well as paying the fees for the use of the building.

We tried to keep the cost increase to a minimum and only affect those that will be making money from the event instead of jacking up all the costs and possibly keeping some from attending.
I can tell you from last year's experience that I would not have minded giving up a $5 bill from the wad of cash I got during the day of frag selling.

We are trying to improve on the way things have been and make a bit more excitement and reasons to attend.

With every city having a reef club now and each of them asking every retailer and manufacturer for donations it makes it harder for us to have a fully-stocked raffle table without digging into the club's pockets to purchase them.

I hope that explains things a bit and people understand that we are simply trying to improve the club and its events with our trying new things. We aren't saying the way it was done before was wrong. We are just hoping that we may make it better.

The extra 5 bucks could also help with the increasing need to buy raffle items as the years go on and more club hit vendors up for freebies

It is unfortunate that you won't be able to attend this year's swap. I wish there was a way to allow everyone to attend.
The room wasn't available on Sundays at the times we needed for a swap. There are many good things about having a Saturday swap. I have heard lots of positive feedback from others about having another day to rearrange things and get it all settled the day after the swap instead of heading out to work for the week.
There are many people coming from out of state (4hrs or more driving time) that will have to pack up and head out to their homes after the swap ends. They will get home late on Saturday and have a day to recover before the week begins again.

I guess we will have to see how things go this year and decide if the new hall and the Saturday thing will be right for following years.
