It's great to hear some of your members will be making the trip. You guys are welcome to set up a table to promote your club and network with the vendors and other clubs.

We're working out the logistics of how we can come. First we were talking about going to the beach then we decided we wanted to be able to sell frags. I'm not really sure what the heck we're going to do!

Is there info on when we can set up our tanks? In ETRC we let people bring them on Friday night and set up then have the swap on Saturday. Is it like that?
 
The information I saw was a setup time of one hour. The swap begins at 10am. Setup time is from 9am -10am.

Swap is from 10am to 4pm.

Vendor cleanup from 4-5pm

Not sure why you would want to go if you are not planning sell or buy. It would be a good time to go the the beach though? I would be afraid that I would want to buy something or maybe win something.

I think that the club gets free table - not sure if we would need more than one, however.
There seems to be a distinction between hobbyist tables and vendor tables.

Vendor tables are $100 or $80 for early registration.
Hobbyist tables are $30.

$100 a table for selling vendors 20% discount for early registration. Free Tables to Non-selling hobby related vendors and sister clubs. Limited number of free tables available see thread for details. Hobbyist tables $30 for non members $25 for members per half table”

I am not sure what some of this means, but it looks like ETRC would get one table for free if we act soon.

Obviously I wouldn't go if I couldn't sell or buy frags, duh.

But I'd go if I could buy and not sell.

We get one table free.

Set up time has to be more than 1h...no day-before set up? Surely someone can meet us way out of towners the night before and let us set something up.
 
Rob sent me a pdf. I think that is what it said. I cannot believe some of the vendors (commercial) are not asking for more time.
 
Look at it again Rob. I must have read it wrong. 1 hour is about enough time to get ready in the morning if you have setup the night before. I cannot imagine what it will look like if 20-30 vendors are coming in at the same time trying to get power, water, tables and all setup in 60 minutes.
 
I talked to them, they only have the space rented for the day but they're talking about what to do about it. I asked on their FB event.

The event has grown beyond our expectations, a very good thing. I am working on starting earlier in the am and possibly the night before. It is up to the city which rents the building out.

Sounds great, there is at least three of us making the trip. I can't wait!!!

I don't think that an earlier set up time would help us a ton. Frags that travel that far will not open as well if set up *day of* rather than the night before. That's not a DEAL BREAKER in my opinion though because I can do presales and just have photos ready but it would REALLY help to set up the night before.

Plus if we were to drive there *day of* we'd have to get on the road at like 5am, which I cannot do. Hah hah. I'm not an early riser at all! But really, more importantly, we're just trying to pass to you some wisdom from having run our swap for so many years.

All wisdom is appreciated, we are unable to leave anything in the building overnight. I did go ahead and rent it for an extra hour in the morning, with lots of vendors coming in I think the extra hour is needed to keep us sane. We have more large vendors coming than expected, and we have not even started seeking local hobbyist vendors.

It is shaping up to be a great event. We have tons of raffle items, do you have any suggestions on how to make the raffles run smooth and quickly?

Do you guys do any radio ads or just the internet? I would love to tap into your experience of larger scale frag swaps.

These guys should be able to give you tons of wisdom about the raffle.

I'll say one thing, if you end up with a TON of door prizes, raffle them off like every hour or so...maybe saving the big items for the end. Having 50 prizes raffled off at the end is really boring and some people don't want to stay the entire time. You could easily raffle off some of the smaller things half-way through and some of the larger ones near the end.

OH and put on your entry flyer or have posted somewhere that you MUST BE PRESENT TO WIN. One of the swaps (MTRC, I think) had someone get really upset about that not being posted.

I ended up making a flyer up for people when they first come in the door with all the information they needed to know about the swap. I made it two per 8.5x11" sheet and cut them in half. It wasn't too expensive or anything...from Staples...AND they'll cut them in half for you...AND colored paper is the same price as regular paper.

Great suggestions,
Some of our regular meeting get boring at the end when there are a lot of raffles, I can't imagine if we waited until the end with all we have. We have tons of items and getting more daily.
 
Evilmel, you should go because I'll be there lol! I did a overnight drive with next day setup and all the corals I have opened just fine. But then again the way I set up was untraditional
