frag swap is coming

At the August meeting we will spend a few minutes on the upcoming frag swap. Be looking forward to volunteering for one of these task :

Contact sponsors to see if they will donate raffle prizes. this is a large task we will need a few people to help divide this up.

Get raffle tickets. Find some people to give out raffle tickets.
Figure out concessions if we want to make them available.
Advertise the Swap on other TN, MS and AR msg boards, also the RC magazine
Frag Demo
Program to hand out at door: mention donations- raffles- time schedule of events our club etc
Club tank set up for frags
"Kids - Spouse Lounge" rest place while reefers shop
 
you must want a small turn out hosting your first meeting, you should of droped that on them onece they got there, LOL !!!, im willing to help on the concession, i hope we can get this off the ground, but so far we only have me,you & trish, thats two new new people & one that may as well be, so members if you dont want your first frag swap to be ran buy mo, larry, & curley, we need some help or were looking at next year,
 
Thats a good one. I guess my food cost for the meeting will be very little huh.
Hey my husband and I are semi pros at laying out a show so that part will be good.
 
The agricenter looks best for the buck. C wing looks good at 5,580 square feet for only $575 we'll get a little nonprofit discount. ( www.agricenter.org for layout) No carpet on the floor and I'm waiting for Amy to let me know if vendors- tanks can set up the night before and if there is electric outlets and how much more those run. I do know it is extra for electric. There is also a garage door near that wing that you can drive into, that may help some.We may have to get tables but I'm sure I can cover that donation - hum for an ad on the hand out if there is a hand out. I have not checked on a date waiting on all the info from agricenter to give to club to let me know a date to check on. I have to see if the agricenter requires us to have event insurance as well. What date do you want me to check? Is September enough time for people to help get prizes, vendors, and the word out? A good turn out depends on how hard the club works.
 
I think mid Sept would be great, that's 5 - 6 weeks away, should be enough time for planning. And it's before the Chattanooga swap.

The Chattanooga swap is this weekend. I don't think you'd feel any effect from having this one in September in Memphis, though. I don't imagine too many West Tn'ers are going to make the trip (and it doesn't sound like too many Middle Tn'ers are going to make it). I'm excited about one in Memphis. One step closer to one in every part of the state every few months:).
 
Agricenter has open dates for Sept 22 or Nov 3. Thats it in that wing for this year. Electricity is $40 ea for 8 amps. We will need someone to check into event insurance which can run from $300 - $700 per event. I’ll find out some companies to call. The down fall to using the C wing is that it is open 24/7 and is a main entrance. Great for loading day before but may need to hire someone or draft someone to stay overnight for security.
 
Or we can begin setup very early Saturday morning instead of the night before. I'll be glad to get up early! Can we shoot for the Sep 22 date?
 
Either date would be good for me, if anyone cares. I am way out here in the GREAT state of Arkansas. I think I would be able to help, I just have along way to go to get there. However I will help.
 
Just my $0.02 worth, but do you think this is enough advance notice for the vendors? Many have other swaps/shows not just in the tri-state area but all over the South. Also, do we need that much room? The one swap I went to was in a community center and had lots of vendors. To assure a better turnout, we need to give a few months heads up to vendors. Do we need to get our feet wet by starting out a little bit smaller, just to test the waters and get a feel for things and gauge for a larger one for our second one? These are just ideas I am throwing out. Anyone else want to comment? Usually with a frag swap, you start planning for your next one immediately after the one you just had, which is many months in advance. I surely would like our first club attempt to be a positive one. Don't mean to hijack the thread. I am just concerned.
 
I have to agree with reefdiver, the ventors are going to make the swap (as well as all the great frags) and the vendors are going to need much more time that 6 weeks, they have all there events set for 3,4,6 mos. or more. It will also take more time that this for the people to get with all the business that will donate to the swap. This one will be a learning event not everything will go the way we want. Next one will be much better because we will be able to have a date set almost a year in advance and everyone will be able to get ready for it. (ventors) Like Reefdiver just my .02 worth.
 
OK, before we cancel the whole Sept thing without knowing, I'll be happy to contact vendors with the possible date to see if they can come. I will start with the vendors listed as our sponsors. I will post a new thread asking for suggestions about which other vendors to call. I disagree that vendors make the swap or break the swap, although of course their presence is highly desirable. People come for good deals on frags. Vendors that sell coral can't compete with the hobbiest.

I will order more t-shirts with just the "i glue animals" logo that can be sold with a slight mark-up to people that come to the frag swap (it won't have the club logo on the back). And we can set aside several shirts as door prizes.

Does it take 3 months to find vendors that can donate door prizes? I don't think so. I'm on it.

We do not have to use all that room but the fee for the space is around $550 and most of the other places I checked are much smaller and still want about the same amount. The agricenter is a great central location, no carpet, And the have a marque out front that will advertise or swap right on gtown pkwy. We can pull this off with club members help.
 
After going to MACNA and Saltwater U Raffles are the things that folks get excited about (after good deals on frags).
 
I am not trying to kill the swap I want it, I just have to agree that it will be better to have more time.
