I can make arrangements with LiveAquaria to have it held at Fedex. I have to speak to them later today.

We should all meet up there. Anyone who can't make it can make arrangements for thier order to be held by a club member.
 
We will be setting it up so that the delivery will be held at Fedex. I am assuming we are talking about the one in Menands? I will look up the address and have it on hand. Or if anyone has the info from a previous order. "Ahem Tony" I'd really appreciate the info. (Sorry Tony for throwing you in) lol

I also talked about the shipping cost issue. The Promo ends today which i wasn't aware of till yesterday. I am hoping they can help us out in some way. As for discount there will be no discount unless indicated by larger #'s of say snails. The shipping costs for a group buy alone will not be cheap on such a large order.

My main focus and should also be the clubs main focus is a club donation as well as a banner on our sponsor page. This is how it would work:

You click on the banner you make your purchase and for everyone's purchases for the year a comission will be setup for the club and given back to the club at the end of the year in the form of Live order or dry goods.

I am more than willing to place a text link from our sponsors page to there site. However if they want a banner ad placed on our site they would be required to donate actual items to the club for raffle. It is not fair to other sponsors who HAVE donated gift certificates or frags or actual items. Also ....there is a problem with the "check" idea at the end of the year. Who do they write the check to....cause no one will be able to cash a check made out to CDMAS. Im assuming they wont write it to an individual.
 
Hmmmm all things that we will need to clear up. They will be donating to the club from my understanding its just a process being that they do donate to other clubs and have a budget to follow.

They are doing their best to cut down the 2 to 4 weeks for me and get it processed in time for our order. I could bring the donations to Espi's meeting;) We'll chill, let them work and i should be hearing back from them Friday or Monday. Hoping for Friday.

They are aware of our stand point with sponsors. They will not be posting on our forum due to the Bias and waves that would create. Totally understandable.

I'll keep everyone updated.

As for the comission. One of the Council members will need to contact their marketing department. That will be when we talk banner. So then that person can determine where the money will be sent. We should setup a club bank account and let the treasure manage it. As stated in the bylaws
 
Club bank account......so we should set up a bank account now? It's not that easy. The council has already concidered it and everyone decided that for now, we dont need one. You and just open up an account and attach CDMAS to it.
 
We will need to talk about this at the meeting.. Why is it there is so much opposition? It does not need to be done right away. It will take at least a month or so before we organize the banner. So the aniv. date would be Dec or Jan of 07 before you have to worry about how the funds are received and spent. :rolleye1:

I am simply stating the same position I have stated to you in PM's. It's so simple ....they donate they get a banner....not hard at all. When they send a donation the banner will get posted. As for the "check" that poses a whole nother animal. As for the Councils position on the Bank account idea....ask them yourself. We didn't want to get involved in "incorporating" the club for the sole purpose of having a bank account. There is more paper work than it's worth.

In november there will be an election....and the "new council members" can do it if they want.

As for quoting the Bylalws, wait till the bylaws have been ratified by the club. That will be done asap.
 
A bank account requires a business license unless the treasurer wants to open account in their own name.

It's not worth it in my opinion. The important part of the treasury, I think, is to keep detailed records. That does not require a bank account.

Obviously, we are not a business, so the appropriate license would be for a non profit organization, which comes with a lot of extra administration including the need to file taxes.

All the people who want to deal with that, raise your hands. Nobody? :D (My hand is not up, that's for sure!)

If we grow to the point of needing a non profit designation, so be it, but I really don't think we are there now, and getting the designation just to get a bank account would be putting the cart before the horse in my opinion.
 
So when we speak with their marketing department we will express our interest in having them hold the comission at which time we can put to a vote on how we want to spend/ receive our credit. Which would most likely be in the form of corals or even possibly dry goods or equipment for club raffles. All depends on the % comission and how much we actually purchase through DrsFosterSmith, Etropicals and LiveAquaria in a given year.

At any rate. I will turn over my contacts and info at either this months meeting or next. So we can take steps to set this in motion.
