Great nominations, Jack! However, Tim did come to the setup wearing his shirt backwards, but we won't hold that against him... for now. :D

Just FWIW, I don't think I would like to run for President. VP is fine. :)

even though i am regretably forced to sell most of my stuff to pay our dear uncle sam, i anticipate still attending meetings & being involved.....you never know what you'll win at the meetings & such ;)

just not sure i'm ready for officer involvement yet LOL

One thing though I think we will have plenty of stuff to do to have more people participate in the activities. This is a great thing for the club.
 
I would be in total agreement with Wayne on nominating a specific person for planning the swap with the understand that it is their sole job to make sure that comes out well. It's a huge job really and as I was planning it I was trying to come up with ways to split the work up.

Honestly, having one person in charge of the swap and then having 2 others to work in a more official capacity on a swap committee. Specifically, put the swap planner in charge of getting the facility and planning the set-up/making the signs/coordinating the actual event, have someone handle contacting vendors and procuring donations, and one person in charge of making/organizing the advertising. The main planner would also be in charge of just making sure everything is going smoothly and can obviously delegate other duties to other members (e.g., website, travel plans for the speaker, etc.). It would be their job to officially appoint the other folks.

Perhaps the current committee should talk about this and possibly we could amend the current board to include an "events planner." It seems like we have a lot of people willing to step into a position and we still have some time before the election to implement this. Spreading the work of the swap around (and making it more official) will certainly help relieve the huge burden of planning an event this size. There's no joke... it is a lot of work... and I asked for and had a lot of good help.
 
Another electable position would be a change to the bylaws and would have to be voted on and approved before someone could be elected. Members of the Board have voting rights on issues that come before the board, and this would have to be thought through when making this change. I am against an elected position for this for several reasons:

1) We have 4 electable board members, that can collapse to 3 (per the bylaws, treasurer and secretary can be merged if not enough people have run for office).
2) Many clubs find it difficult to consistently maintain even 2 officer positions. Having 5 officer positions would be an additional burden on the club.
3) I don't see the need for it. People can volunteer. People can be appointed to "do certain work", and the current positions can divide and conquer for these kinds of events.

When I took over there were only 3 positions (not enough people ran to fill 4). One of the things with the board that I wanted to do as Pres is start to grow the other roles. There was a time that I did membership cards, kept track of all the membership, did most all the planning for the meetings, and pretty much did the swap (with some great help, but I carried the major load). I've had to back way off because of work and school, but even before that I was transitioning the secretary for managing the meetings and smaller events, and managing our "check-out" equipment stuff. The Treasurer was transitioned to doing the membership cards, managing the paypal account and the bank account. Then Chris Stowers had to leave, and Brian stepped up (Awesome, by the way!), and then I ended up putting a bigger burden on him for the swap because of some changes that made me way to busy. Bottom line is I think among the board members + interested helpers, the Swap can be handled and the labor distributed. The Pres and VP need to Chair the Swap Committee, which can be populated with interested members, and duties delegated.

I don't have a problem with the new administration taking the steps to change the bylaws to add this position as an official office, but I would still be against it when the vote came around. For now we need to stick with the 4 official positions.
 
I think the issue that I have with not creating an official position is that frankly I think it downplays the workload associated with planning and executing the swap. I'm not saying you other guys don't work hard, but work for planning the swap is massed primarily in a 2-3 month time period.

Without having a little bit more of a structured division of labor, I think the person in charge of swap planning will inevitably be overburdened and that the swap will suffer as a result. It's harder to shirk responsibility or ignore what you've been asked to do when you are publicly appointed to do a specific job.

Call it psychobabble, but it makes a difference when you know people are counting on you and when you know you'll get the recognition/blame if you drop the ball on your part of the duty.

Personally, I think an elected position would possibly allow for more accountability to the job.

I'm still not 100% sure it should be an elected position, but I definitely would like to see us continue to grow the swap and do our best to attract as many people as possible while providing great raffle items and a fun swap to attend. Maybe even turn it into a 2 day event one day. Not to mention the possibility of hosting MACNA here.

What does everyone else think? Anyone have any ideas on planning the swap and an elected official/chair person/etc.?

It seems logical that since this current board (as it is now) will not be responsible for next years swap, that this issue can be passed on to the new incoming board. I'm not necessarily arguing that we should be editing the bylaws before the election. If the new board sees fit to add a position for the swap, they'll have plenty of time to take a vote on it and fill it before the planning is started. For the time being... let's get this thread back onto track.

Howard told me he is thankful for the consideration but declined. I had PM'ed him before he was even nominated as i was thinking of him too.
 
Thank you, Wayne and Jack. I am complimented by the nomination, but I do need to decline. I hope to be called upon as an "interested member" by anyone who may need help with even minor tasks to try to split up the workload.

The accomplishments of the present board, most visibly those of Jack and Brian, are most impressive and appreciated. You guys are a tough act to follow. Sincere thanks.

In the interest of getting folks involved and posting at least a little competition to make this more of an election, I contacted a couple of folks about positions.

Of those, Rhett Campbell (commonstranger) has agreed to run for Secretary and I would like to officially nominate him.
