MTRC Officer Election

We're well overdue for officer elections so lets get started. In the past, our elections have been held at a meeting so only the people attending that meeting got a vote. To try to make it more fair for everyone we will vote by e-mail. I will send all current members a ballot to reply with their votes. I will not be running for a club position this time so I can be an impartial vote counter. Any suggestions on this are welcome as my objective is to make this fair for everyone.

We need to start with nominations & the positions we are voting on are:
President
Vise President
Treasurer

I will start by nominating Gary(Gflat65), our current treasurer, for president. Gary was one of our founding members & has done more for the club than anyone.

I will be sending a copy of this post out to everyone on the mailing list today so if you don't receive it, I don't have your e-mail address. Send me an e-mail & I will addyou to the mailing list before the ballots are sent.

I nominate Angela for Treasurer

Personally I believe those 2 positions to be the most demanding. This is why I nominated distinctively for these positions.

I've taken back my VP nomination because I don't know the roles of the VP and am not qualified to make such a nomination without knowing.

Hopefully these people would be willing to run? :P
 
Anyone interested in a position can nominate themselves & anyone nominated that isn't interested can turn it down.
 
Chris, would you please give a brief description what the roll of and what we should expect as this club pretains from a President, VP, and Treasurer?

I accept the nomination:). Regardless of what happens, I hope to work alot on the frag swap in January. It's stressful, but rewarding when it turns out better than you planned.

I can provide the dailies on the treasurer job. It is all dealing with keeping track of the money and updating the roster. We have an account with Regions, and I usually have a little bit of club cash handy for change when people pay. Making sure the balances are right is the hardest part (though it is difficult for them to get off unless we do things like frag swaps where there is money coming in and going out). When a new member signs up either through mail, at a meeting or through paypal, I enter the info and send it on to Chris to print the cards. At LFS meetings, I tend to wonder around and look for things to buy for fragging, but the LFS's usually provide everything (though I try to pay them when we take two corals for fragging...). Keeping the spreadsheet current (moving from prospective to active member lists, etc.) is the main job, along with making deposits-I've not been the fastest at that, as I'm sure some are aware:rolleyes:.
 
Wait a minute.... I had to pick myself up off the floor I was lauphing so hard! :lol: :lol: I am flatered my name was mentioned but seriousley Cory just took my credit card away tonight....again :(. The card I am "only" suppose to use in a emergency. But doesn't emerald bays labor day sale fall under emergency statuse honey? :lol: He said that was a definet oxymoron my name was even mentioned with anything to do with club finances! I am the absolute worse money manager in the world guys and coudn't even begin a spreadsheat. I would be honest with the funds but thats about all I could promise.

To be honest I am a little overwhelmed with the 3rd baby, kindergarden, dance classes and horseback lessons. I am needing to cut back my computer time and time spent with my hobby for the good of my family as there is just never enouph time in a day :(....

Club President is more club coordinator. Scheduling meetings & club events like the frag swap & enlisting help to get them done. Also keeping a good relationship with club sponsors like our LFS so we benefit them as much as they benefit us. I have also done the card printing so I can sign them before they are laminated but that could be done by a club secretary appointed by the officers.

Vice President, as usual, is the presidential backup. They stay informed on everything the Pres. is doing so they can do the job when the president is absent, too busy or otherwise behind. The Pres. can also delegate to the VP if there is a special event that needs close attention.

Gary summed up the Treasurer very well. All I would add is he has been doing the job of the Treasurer & VP for the last year.
 
If no one else wants to do the job of Treasurer I will since me and joy are both accountants and should be able to keep track of the dues and expenditures. But if anyone wants to do it that's ok with me just offering if the incumbent wants to run again I will differ to him.:D

Okay guys and gals, we need some more nominees for various positions. Right now, we've got Wayne for treasurer and eyebedam and coral_reefer25 have volunteered to hold an open position. There are a number of people that would fit the open positions, so whos' up for something? Nominate someone:). The club showed great support at the swap and a number of people stepped up:). Let's hear some names.
 
wayne definitely for treasurer or VP....remember he did alot of help with the frag swap (I wish we could have gone!!)and he is honest......1st reason to nominate someone!
 
What are everyone's thoughts on creating a position for "frag swap organizer" or however it should be worded? Essentially a position that is nothing but getting things planned out, organized, and ready to go for the swap each year. I know from watching Gary this past year, it's more than enough for one person and he might as well have had been wearing both the treasurer hat as well as the "swap" position hat. Perhaps it would be a good idea to create a dedicated position for that... Thoughts?

WRT Frag Swap Organizer, I have been thinking something similar, but don't know that it should be an elected position. It actually may end up being a couple of people rather than a single person. Maybe that could be an appointed position. Ultimately, I think the responsibility for making things work falls to the President -- but if elected, I would like to delegate several functions to others who are interested. The frag swap is one of those items. I also think dedicated liaisons for LFSs would be good -- kind of a point person for each LFS as a representative of the Club. I actually have several ideas for what we might do -- and propose that the ideas be vetted and then put to a vote, rather than voting for specific people. Some of the ideas to consider:

1) Have a standard format for the beginning of monthly meetings, where some "club business" is addressed if there is any, people are introduced, etc. This might take place for about 15 minutes, sometime at the beginning of meetings.
2) Have a "point person" for each of the LFSs that is the contact for the LFS and the club. This person keeps our relationship up, and may help coordinate the yearly club meetings we have at that LFS.
3) Have a point person or people who are on a kind-of Frag Swap Committee -- people may take on part of the responsibility for the swap. One person may be in charge of the location and setup, another in charge of donations/raffle, etc.
4) I'd like to see if the club is interested in having topics discusssed/presented at monthly meetings, and if so we could get a list of those topics, and add a set "topic time" for those interested during the monthly meetings. So for example, if "Skimmers" was a topic, we could do the club business early on in the meeting, then have a time set aside where the topic would be presented, but only those at the meeting who were interested in the topic need to participate.
5) I've been thinking of whether or not people would want the club to be a "co-op" of some sort for some difficult to get items. This would be something that would need to not cannibalize LFS sales. I'm thinking of things like MagFlake (MgCl) and DowFlake (CaCl). Maybe the club could purchase a couple of bags of each, and then sell smaller quantities to club members at cost. That way each person wouldn't have to personally order a lifetime supply. I already have said lifetime supplies, so I don't need any -- but I have seen many who have asked where to get this, etc -- and it is not readily available locally.

These ideas are open for discussion/debate -- but represent what I was thinking the club members could consider going forward. I think we should discuss and vote on things like this so that the majority of the club is on board. At any rate, I support the idea that there be spots for people to plug in and take a leadership role for things like the Swap.

Great idea. I like the majority vote on positions for the simple fact some one may feel slighted if they are not picked. I will say though I think we need to promote people volunteering for positions not waiting to be nominated by others. I know there are a lot of people that have some talents that could help this club but are too shy to self nominate themselves. I think the Coop for that type of stuff is a great idea as I know I will be buying some of that on larger qty. If I was to become treasure I could assist in that as I do have room to store stuff and that is similar to what I was going to do with that loc line and Rock.
