Seeing as the Club has plenty of money IMO unless It's to build a war chest or something It should be used to benefit the paying members. After all It Is their money!
The frag swap is the major event for the club and in the past it has been done on nickels and dimes because we had very little before the swap. I agree that spending club money is not a bad idea if we've got it, but keeping a buffer built in for the potential up front costs of the frag swap should be something that is kept in mind. Each year we've been growing and each year the potential for the up front costs to increase is very real (e.g., if a venue change is required and we are staring down a huge deposit). Also, if one year just so happens to turn into a relative failure when it comes down to covering those costs (this could happen for any number of reasons), it leaves the board for the next year in a major bind. Or if we ever intend to host something like MACNA.
In other words, the biggest reason for carrying a club balance is the frag swap... and I think it has been only in the last couple of years or so that we've really had any kind of balance we could bank on for the next year.
As far as suggestions being overlooked, I've long thought that the club meetings should start to institute an honest to goodness meeting format for at least 15 minutes shortly after arrival in which the secretary reads notes from prior meetings, the treasurer reads the club balance, the status of the shared club equipment is accounted for, the president/vice gives an update on upcoming events, and the floor is opened for suggestions for the good of the order.
Maybe it is just because I held just about every position in my fraternity in college and had incredibly formal meetings when the size of our fraternity was only 25 people, but a group the size of MTRC could probably benefit from a very short more formalized format for part of the meeting... and I really don't think it would require a bunch of additional work on the behalf of the board. The current MTRC meeting format is hardly different in comparison to when it was founded with just a handful of people.
